Hermes II
A weekly distribution of information

Guidelines

What is Hermes II?

Hermes II distributes to all staff and students a weekly email with a digest of information. It is possible for recipients to opt out from receiving the Hermes II emails. Staff and students are welcome to submit items for distribution.

Moderation.

Who can post?

Staff, Students and Associates of the University can post messages which are expected to comply with the criteria below.

All submitted items are moderated, and they must not:

  • cause offence;
  • bring the University, its staff or students to disrepute;
  • spam with multiple postings of the same item;
  • post information too early, although for certain items a posting 1 to 2 months in advance followed by a clearly marked reminder would be acceptable;
  • carry commercial advertising or advertising of companies, goods and services from suppliers not approved by the University or unrelated to academic activity.

Submitted items are expected to:

  • obey any relevant legislation;
  • not disclose personal information without the approval of the person concerned [NB. Data Protection Act 1998];
  • be directly or indirectly linked to the University, its staff and students [eg. events happening somewhere in the city may not be advertised on Hermes because someone may want to attend, but events organised by (or have a high proportion of) staff or students may be submitted);
  • be of relevance to at least some of the recipients, minority interests and groups are not excluded;
  • be timely;
  • be brief;
  • where possible link to additional information on a webpage:
    • additional pages of information, questionnaires, competitions etc. are expected to be accessible by all mainstream browsers and operating systems, eg. Internet Explorer, Netscape, Mozilla, Opera, etc.

Small Adverts and Accommodation messages:

  • such messages may be submitted multiple times within reason;
  • they have to be honest and true;
  • cars advertised on Hermes must have a minimum of 4 months MOT, else pass them the MOT or advertise them elsewhere;
  • no offers of tuition on any subject for any participants; new 17 Sep 2007
  • accommodation adverts offering property for rent (i.e. houses, flats, rooms, flatshare) will not be permitted after 30 March 2007;
  • requests for accommodation by staff or students will be permitted after 30 March 2007;

Submitted items may not include:

  • messages of thanks to those attending an event;
  • messages of regrets to those not attending an event;
  • messages with no substance and only purpose to improve the image (branding) of the sender;
  • trivia, noise and similar items which may only waste the recipients time.

Disclaimer:

  • there is no guarantee your message will be included in the next distribution, but if it is knowingly excluded we will give you a reason ASAP;
  • the right not to distribute an item is reserved although the reasons will be given. If it can be appropriately edited it may be possible to resubmit it;
  • the right to edit an item is reserved;
  • there is no guarantee Hermes will be distributed every week or at the expected date/time.

What can be submitted?

Anything, as long as it meets the conditions listed under Moderation above.

Who can submit?

Any verifiable member of staff or student, DUSA and its Clubs and Societies.

What is required?

You will be asked to:

  1. have your own Intranet ID to log on to SOMiS which can be obtained from the intranet page
  2. provide your email address which:
    • must be your address and you must be accessing the intranet as yourself;
    • must exist in the Internal Email Directory;
    • must be active;
